4. Who we share data with

We share data with the service providers below, under contracts that limit what they may do with it. Some of them process data outside the European Economic Area. For those transfers we rely on an adequacy decision (such as the EU-US Data Privacy Framework, where the provider is certified) or on the European Commission’s Standard Contractual Clauses, and the UK equivalents for UK data.

ProviderLocationPurpose
Clerk, Inc.United StatesSign-in and session management.
Stripe, with Link as merchant of recordIreland / United StatesPayments and billing. Link sells your purchase as merchant of record and is a separate controller of the payment, tax and fraud-prevention data it collects.
Fal.aiUnited StatesAI image and decoration generation, image editing, AI lettering and background removal in the invitation editor. Your prompt, the names to be lettered and the image being edited (including a photo you uploaded) are sent to Fal.ai. Generation, editing and lettering use an OpenAI image model through Fal.ai.
OpenAI, L.L.C.United StatesDesign suggestions in the invitation editor and checks of AI results (whether a generated image contains unwanted text, whether lettered names are spelled correctly). The texts in your design (names, date, venue), your request and the image being checked are sent to OpenAI. These requests ask OpenAI not to store them; the data is not used to train models, but OpenAI may keep it for up to 30 days to prevent abuse.
Cloudflare, Inc.Global network; stored files in the United StatesHosting, running the site, protection against attacks, and storing your account’s records. Wedding websites, RSVPs and invitation editor drafts are kept in Cloudflare D1 in Western Europe. Photos you upload, invitation and AI images, and other files are kept in Cloudflare R2 in North America (United States), under the transfer safeguards above.
Resend (Plus Five Five, Inc.)United StatesSending account and notification emails and reporting their delivery. A “new RSVP” notice never contains the guest’s name, contact details, reply or note; it carries only the site owner’s address, a general message and a link to the dashboard.
DataFastSingapore / United StatesPage and conversion analytics without cookies. Its servers recognise a visit by a pseudonymous hash of your IP address and browser that changes every day, so it cannot follow you from one day to the next.

Apart from these providers, we share personal data only:

  • when the law, a court or a competent authority requires it;
  • when needed to protect our rights or the rights of others;
  • to investigate fraud or a security incident;
  • in a merger, acquisition or insolvency, in which case the new owner takes the data on the same terms and we tell you about any material change.

5. How long we keep data

  • Account data: while your account is active. After you delete your account it is removed once our 30-day backups expire.
  • Invitation data (images, prompts, event details): may be deleted 30 days after the event date; you can delete it earlier from your account.
  • Wedding websites and RSVP data: the site closes to the public at the end of its 12-month online period after the main wedding date. After a full refund or a payment dispute decided in the buyer’s favor, the data may be kept in restricted form for 30 days to handle corrections or disputes; after that the legal retention rules and any deletion request apply.
  • RSVP email delivery records: for as long as the RSVP they belong to is kept; deleting the RSVP deletes them.
  • Payment and billing records: 7 years, as Estonian accounting law requires.
  • Reminder subscriptions from the free tools: until the reminders for your wedding date are sent or you unsubscribe, whichever comes first.
  • Marketing consent: until you withdraw it; sending stops immediately.
  • Analytics: according to DataFast’s retention settings.
  • Anonymous aggregate statistics: including the daily counters of live wedding websites, may be kept indefinitely because they cannot be linked to a guest.

6. Your rights

Under Articles 15 to 22 of the GDPR and the UK GDPR you have the right to:

  • access the personal data we hold about you and get a copy;
  • have incomplete or incorrect data corrected;
  • have your data erased where the legal conditions are met;
  • restrict how we use it;
  • receive it in a structured format or have it transferred to another controller;
  • object to processing based on legitimate interests;
  • not be subject to decisions made solely by automated means that have legal effects for you;
  • withdraw your consent at any time, where we rely on it;
  • complain to a data protection authority: in Estonia the Andmekaitse Inspektsioon (aki.ee), or the authority of the EU country where you live; in the UK the Information Commissioner’s Office (ico.org.uk).

To use these rights, email legal@vowberry.com with enough detail for us to confirm your identity. We answer within one month.

If you live in the United States: we do not sell your personal information, and we do not share it for cross-context behavioral advertising. You can ask us to access, correct or delete your personal information at legal@vowberry.com.

7. Guests of a wedding website

When you reply to an RSVP form, the couple who owns the site decides what the form asks, sees your reply in their dashboard and is responsible for telling you how they use it. We store and deliver the reply to provide the site to them. To have your reply corrected or deleted, contact the couple, or write to legal@vowberry.com and we will pass your request on.

8. Children

The Service is not meant for anyone under 18, and we do not knowingly collect their data. If you upload a photo of a child (for a birthday invitation, for example), you confirm that, as their parent or guardian, you have the permission needed to use it. If you believe we hold a child’s data without permission, contact us and we will delete it.

9. Cookies

We use strictly necessary cookies and local storage, cookieless analytics (DataFast), and, only with your consent, further analytics and attribution storage. Our Cookie Policy lists each one and explains how to change your choice.

10. Security

We protect your data with industry-standard technical and organizational measures, including TLS encryption, sign-in through Clerk, Cloudflare’s firewall and attack protection, storage permissions and limited access. No transfer over the internet is 100% secure. If a data breach happens, we notify the competent authority and the people affected within the time the law requires.

11. Changes to this policy

We may update this policy from time to time. We announce material changes by email or in the Service before they take effect, at least 30 days ahead where reasonably possible. The current version is always on this page with its “Last updated” date.
